Our Onboarding Experience

When you join StrataPT, you don’t just get a platform - you get a partner. From the moment your contract is signed, our Onboarding team will guide you through a structured, white-glove onboarding program designed to get your practice live with StrataEMR smoothly and on schedule. You’ll have a dedicated point of contact throughout the process, so you’re never left wondering what comes next. Right after signing, you’ll be asked to:
  • Sign and return your ACH form via DocuSign
  • Schedule your Kickoff Call with your Customer Success Manager
  • Access StrataEMR and begin completing your onboarding paperwork, including:
To prepare for Kickoff, we recommend gathering:
  • ~10 example claims you’ve previously submitted
  • A list of your top payers and payer contracts
  • Logins for your payer portals
  • An employee roster of your front desk, clinical, and administrative staff

Week 2 - Setup

In this stage we’ll begin setting up and configuring your StrataEMR account. At this stage we activate all our teams that support your organization to ensure your account is fully configured and ready to go by the end of this stage.
  • RCM Partnership Call – Review how our billing and collections team operates, what to expect, and confirm we have the data needed to set up your account.
  • Portal Enrollments – Once your account is configured, we’ll begin submitting payer portal enrollments for your organization.
  • Documentation Review - Review and personalize StrataEMR’s built-in documentation to fit your team’s needs.

Week 2 - Prepare

This stage is focused on getting ready for your Launch Date. If you’ve selected a Patient Demographics Import we’ll perform, validate, and review the import with your team at the beginning of this stage. During this stage you’ll focus on:
  • Validating and reviewing your patient demographics import (if selected)
  • Moving your schedule into StrataEMR
  • Entering benefit, authorization, plan of care, and visit information for all scheduled patients
  • Reviewing and customizing patient intake documentation
  • Uploading prior case information
  • Creating initial documents for upcoming visits to save time on Day 1
You’ll meet with our team to confirm all configurations and workflows are correct. Our focus is making sure patients, cases, demographics, and policies are ready so reimbursements flow smoothly from the start.

Week 3 - Training

We’ll train your staff to be fully confident in StrataEMR. Sessions are live (typically 45–60 minutes each) and interactive, with training materials available beforehand. Team-specific training includes:
  • Administrative: Account setup, policies, benefit verification, authorizations, patient engagement, tasks, and more
  • Front Desk: Scheduling, patient engagement, check-in, payments, and tasks
  • Clinical: Managing caseloads, documentation, and tasks
For larger organizations, we can design a tailored program that combines live sessions, online training, or multiple training options to fit your workflows without disrupting patient care. Meanwhile, our teams continue behind the scenes - finalizing enrollments, making any requested configuration updates, preparing for patient demographics imports, and beginning fax number transfers (typically a 10-business-day process).

Week 4 - Launch

Most clients choose to launch on a Monday, ensuring a clean transition. From that day forward:
  • All documentation is logged exclusively in StrataEMR
  • Claims are submitted directly through the platform
  • You’ll have frequent check-ins with our team to confirm everything is running smoothly
