The Schedule is where your practice’s daily and weekly appointment activity lives. It’s accessible from the blue Menu Bar at the top of StrataEMR and is the primary workspace for front desk staff and clinicians managing patient appointments. The default view shows the daily schedule for all staff members assigned to the selected facility, organized in columns by clinician. Each appointment block is color-coded by appointment type, and status updates — from Scheduled through Arrived, In Progress, and Completed — are reflected in real time across the schedule.

Schedule Layout

The schedule is built around a few consistent elements that appear on every view. The Legend runs alongside or below the schedule and displays all active appointment types with their assigned colors. It also contains the Edit Settings button, where appointment types, colors, time increments, and clinic hours can be configured. The facility selector in the upper area of the schedule controls which location’s schedule is displayed for clinics with multiple locations. The date picker displays the current date in view, along with providing buttons to navigate forward and back in the calendar. The red calendar button navigates back to the current day.

Schedule Views

The schedule supports several views depending on what you need to see. Daily view is the default. It shows all staff members at the selected facility in a side-by-side column layout for the current day. Click any staff member’s name to switch to their individual weekly view. Weekly view, accessible by clicking a clinician’s name, shows a single clinician’s schedule across a full week. Use the toggle at the top to move between staff members. Return to the daily view by selecting Return to Day View. Map view is accessed from the map icon at the top of the schedule. It shows the day’s appointments plotted on a map, with pins color-coordinated to each clinician. It displays drive times and distances between appointments, and surfaces route suggestions when a more efficient order is available. This view is designed for mobile and home-health practices. Mobile-friendly view is accessed via the phone icon at the top of the schedule. It displays the logged-in clinician’s agenda for the day — appointment times, patient names, and addresses — along with quick-action buttons for calling or texting patients, editing appointments, and starting documentation. Personal productivity statistics (units billed, mileage, pay) appear at the bottom.

Appointments

Click any open time slot on the schedule to create an appointment. The appointment dialog lets you select the patient, appointment type, duration, and recurrence. Recurring appointments can be scheduled up to 52 weeks out. If a time slot is already occupied, StrataEMR will alert you before allowing a double-book. Double-booked slots generate an additional column on the schedule for that time period. Every appointment change — including who made it and when — is tracked in the appointment change log.

Waiting List

The Waiting List appears next to the Legend on the schedule. It tracks patients who are waiting for an opening — either same-day cancellations or patients pending insurance or surgery before scheduling. Add a patient to the Waiting List by clicking the open space beneath the Waiting List header and filling in their preferences: provider, appointment type, earliest and latest acceptable times, and day preference. When a slot opens up, you can transfer the patient directly from the Waiting List to the schedule.
The Waiting List does not automatically notify patients when a cancellation opens. Contacting the patient to confirm is a manual step.

Kiosk Check-In

The Kiosk allows patients to check themselves in from a shared device in your waiting room, or from their own phone via QR code. Launching the Kiosk switches the device into a restricted mode that limits access to the full EMR. When a patient checks in, their appointment status updates to Arrived/Waiting automatically. After check-in, patients can also complete queued intake forms and pay their copay via a QR code scan-to-pay flow. The Kiosk icon only appears on the schedule when a single facility is selected.

Schedule Templates

Schedule Templates let you define repeating weekly availability blocks for each clinician. Templates are managed under Setup > Schedule Templates and must be enabled by StrataPT before they are active. A nightly process clears empty template slots and reapplies the active template. Blocks that should not be cleared — like lunch breaks or time off — can be protected using the Exclude Template Update setting on the appointment type.
Schedule Templates are required for the Appointment Manager feature to function. The Appointment Manager uses available template slots to surface scheduling recommendations based on a patient’s plan of care.

Appointment Reminders

Appointment reminders are sent automatically each day for all patients on the schedule who have a reminder method set on their Demographics page. Reminder scripts, delivery method (voice, text, or email), and lead times are configured under Setup > Appointment Reminders. Patients can confirm, cancel, or request to reschedule directly from a reminder message when the ConfirmationLink keyword is included in the reminder script.
