Tasks are StrataEMR’s built-in action system. They surface things that need attention — a copay to collect, a document to complete, an authorization about to expire — so nothing falls through the cracks. Tasks are generated automatically by the system based on what’s happening in a patient’s case. You don’t create them manually. Tasks only generate for patients with an Active status. If a patient is set to Inactive, no new tasks are created for their account.

Where to Find Tasks

Tasks appear in two places. The Dashboard shows a summary of all pending tasks across your practice, grouped by type. If you have multiple facilities, the dashboard filters to the currently selected facility. Clicking any task group takes you to a detailed list of everything pending in that category. The patient’s Tasks & Contact tab shows tasks filtered to that case only — useful when you’re already working in a patient’s account and want to see what’s outstanding for them specifically.
The Tasks page — accessible from the blue Menu Bar — is the most efficient way to work through tasks day-to-day. It offers sortable columns, direct links to patient accounts, and filterable views you can bookmark for your daily workflow.

How Tasks Clear

Most tasks clear automatically when the underlying action is completed. Enter the copay on the Payments page and the Uncollected Payments task closes. Complete and bill a document and the Draft Document task closes. A few task types — like Benefit Verification Complete — require manual dismissal after you’ve reviewed the information. When a patient is discharged, StrataEMR automatically clears remaining outstanding tasks on their case.

Task Categories

Tasks are organized into five categories. Administrative Tasks cover practice operations — refund requests and unscheduled patients who don’t have an upcoming visit on the calendar. Billing Tasks cover the financial side of each case — uncollected payments, authorization expirations, authorization limits, claim submission holds, and benefit verification completions waiting for your review. Clinical Tasks cover documentation and compliance — draft documents waiting to be completed, plans of care that need to be faxed to the referring provider, and pending physician signatures on returned documents. Patient Engagement Tasks track intake form activity — when an invitation has been sent and is awaiting completion, when a patient finishes their intake forms, and birthday reminders for active patients. Referral Management Tasks are tasks created on the Referral Management page and associated with patients in referral status. Unlike the other categories — which are organized by the type of work involved — Referral Management Tasks are oriented around the type of patient they apply to.
