StrataEMR’s patient engagement tools — appointment reminders, balance alerts, and emergency notifications — are built for transactional communication. Each message type is designed to pass along time-sensitive information that a specific patient needs: an upcoming appointment, an outstanding balance, or a clinic closure.
All users can see this guidance. Sending marketing or promotional messages through StrataEMR’s engagement tools is not supported.

Why Marketing Messages Are Not Supported

Using StrataEMR’s engagement tools for marketing or promotional purposes risks disrupting the transactional messages patients depend on. Both individual recipients and telecommunications carriers can mark calls, texts, or emails as spam. Mass marketing messages — especially bulk outreach sent to many patients at once — resemble spam patterns that carriers actively filter. If a message gets flagged, it affects deliverability for all future messages from that channel, including appointment reminders and balance notices. A missed appointment reminder or an unpaid balance left unaddressed because a message never arrived has a direct impact on your practice’s revenue cycle.

How to Reach Patients for Marketing

For marketing communications, use StrataEMR’s reporting tools to export patient contact information, then send your campaign through a dedicated marketing platform outside of StrataEMR. A staff member with reporting permissions can download the Patient Email Report from the Reports area. This report includes contact information for all patients and can be imported into a separate email marketing tool to create and send promotional messages as needed.
Keep your marketing and transactional channels separate. Dedicated marketing platforms (such as Mailchimp, Constant Contact, or similar tools) are designed for bulk outreach and include built-in opt-out compliance. This keeps your StrataEMR engagement channels reliable for the patient communications that affect scheduling and collections.
